The Receptionist /Administrative Assistant supports the Administration Department and Executive Team in all aspects of providing quality reception functions, administrative services, and program-specific support.
The Human Resources Manager, under the direction of the Human Resources Executive, and working in conjunction with the local leadership team will provide the full complement of Human Resources (HR) expertise/leadership to include organizational development, overseeing leaves of absence, workers compensation, employee relations, training, recruitment, compliance, training, and audits. Train, supervise and support local HR Staff, including filling in when needed. Prepare and present HR metric data as needed.
The Purchasing Administrative Assistant is responsible for overall coordination of all administrative office procedures for the Facilities Department. The purchasing Administrative Assistant will be responsible for managing, purchasing and process all the daily ordering of office, maintenance and janitorial supplies, special orders and all ergonomic equipment for the agency. The Purchasing Administrative Assistant will apply all facilities maintenance service principles, practices and methods governing janitorial and grounds, building, equipment records, to comply with safety and sanitary standards, as well as applicable state and federal rules and regulations in all areas of duties and responsibilities. This position will also assist in processing, maintaining, and archiving facilities/maintenance records, as well as maintain various programs, and systems. The Purchasing Administrative Assistant is responsible for ensuring that information is communicated to the Director of Facilities in a timely fashion and must also interact with all staff in a personable, professional, and helpful manner.
The Junior Accountant supports all accounting and billing related responsibilities and function on a daily basis. This position works closely with the Billing Assistant and supports the Senior Accountant – Receivable to resolve any billing issues. The Junior Accountant is responsible for ensuring all client sensitive information is kept safeguarded at all times. The Junior Accountant is responsible for communicating/liaising with FF Administration Department, other FF programs/departments and outside counties to make sure billing is done correctly and in a timely manner.
The Maintenance Worker is responsible for the overall repair, upkeep and safe operation of Fred Finch Youth Center facilities (owned and leased), including, but not limited to painting, plumbing, HVAC, electrical work, light construction, documentation of repairs, as well as delivery of and pickup of maintenance supplies. This position is also responsible for assisting with agency vehicle maintenance as needed. The Maintenance worker is expected to perform routine and preventive maintenance and repairs for assigned building(s), facilities and equipment, ensuring technical operations are in proper working order.
The Training Director has responsibility for developing, implementing, and continuously improving a highly effective training program that develops staff competency, reflects agency values and best practices in the fields of social services and mental health, fosters a culture of continuous growth and learning, and provides valuable offerings to the broader communities in which the agency works. The Director arranges for or conducts training within the agency, as well as manages a training program open to outside agencies. The Director assesses the agency’s ongoing training needs as well as current industry trends and collaborates with senior leadership to update staff development activities and training programs accordingly. The Director is responsible for managing training contracts to ensure program funding, report on training completion and effectiveness, and manage the agency’s Learning Management System (LMS).
The Forms Administrator is responsible for the development, maintenance, revision, troubleshooting and training of Agency forms, forms management systems, and related databases including, but not limited to those associated with or supporting the agency’s electronic health record (EHR) system, as well as forms created in and used on Excel and Square 9, collectively referred to in this job description as “Forms.”
